The Administrative Assistant provides full and diversified administrative support to the Executive Administrative Assistant to the Chief Executive Officer, Chief Financial Officer and EVP, Client Partnership. This individual will use broad and comprehensive experience, skills and knowledge in organizational policies, procedures and practices, and also serve as a facilitator for the Executive Administrative Assistant This person will coordinate calendars, travel, meetings, filing, reporting, e-mails and other miscellaneous office support functions as needed.

Compensation of Administrative Assistant:

  • $16.83-19.23 an hour DOE

Additional Responsibilities of Administrative Assistant:

  • Manage calendars, coordinate internal/client meetings and agendas, and interact with other employees and occasionally with clients.

  • Update and maintain distribution and contact databases as needed.

  • Complete purchase orders and expense reporting and tracking ongoing

  • Obtain and arrange the most economical and practical travel arrangements through Company s online travel booking tool as needed for senior leaders, staff and job applicants.

  • Assist with the coordination, preparation, and distribution of meeting materials.

  • Maintain hard copy files as needed.

  • Research potential new business clients as requested.

  • Perform other project management support for Executives as needed.

  • Provide support and assist with meeting planning for visiting executives/clients including scheduling cars/taxis, setting up meeting rooms, arranging food and beverages, confirming flights, gates, etc.

  • Order flowers and gifts for funerals, babies, etc.

  • Coordinate weekly food trucks and assist with the onsite market, vending issues

  • Coordinate with building maintenance employee as needed

  • Assist with organizing and executing employee events.

  • Update employee work contact information on Company s intranet.

  • Complete various office errands as needed daily/weekly

  • Provide additional support to Finance/Accounting, including data entry, office supplies and other tasks as needed

  • Special projects as assigned by the Executive Assistant

  • Duties and responsibilities may be added, deleted or changed at any time at the discretion of management, formally or informally, either verbally or in writing.

Additional Requirements of Administrative Assistant:

  • Associate degree or higher preferred.

  • 3-5 of administrative experience in a fast-paced office environment with customer and executive support experience preferred.

  • Strong experience with making travel arrangements necessary.

  • Proven organizational skills & techniques

  • Strong attention to detail and accuracy

  • Able to communicate effectively with internal and external personnel, both verbally and in writing.

  • Must maintain complete confidentiality of information.

  • Read, comprehend, interpret, and analyze job-related documents.

  • Work in a fluid environment and contribute to a positive team environment.

  • Manage multiple tasks simultaneously, and quickly adapt to changes in work assignments.

  • Proactively address issues and anticipate the need for information.

  • Provide excellent customer service.

  • Demonstrate a proactive approach to problem-solving

  • Microsoft Office applications, including Word, Excel, Outlook, PowerPoint (Visio nice to have). Above average Word, Excel & PowerPoint skills are required for the position.

  • Must meet client s background and drug screening requirements
