HireLevel is hiring a Client Care Specialist in O’Fallon, IL. 

The New Business / Client Care Specialist supports the daily processing, entry, and follow-up of financial and estate planning-related sales submissions. This role plays a key part in ensuring applications are submitted accurately, tracked diligently, and moved forward efficiently.

Job Type: Contract to Hire
Schedule: Monday - Friday | 8a - 5p or 8:30a - 5:30p
Pay Range: $18 - $20/hr. 
Location:  O’Fallon, IL

Key Responsibilities of Client Care Specialist: 

Daily Case Management & Follow-Up
  • Review and respond to emails and voicemail messages daily
  • Manage the Daily Pending Report for submitted sales
  • Log into FRA VBO (Virtual Back Office) to access reports and pending follow-up cases
  • Review pending cases to determine required next steps and follow-up actions
  • Monitor pending AUM cases using carrier platforms (e.g., Allianz, LSW, VEO One)
  • Identify outstanding requirements and documentation needed to move cases forward
  • Ensure applications are IGO (In Good Order) prior to submission
  • Communicate with carriers and internal partners to resolve outstanding issues
  • Document all case activity, updates, and action steps within the VBO Case Message Log
  • Monitor email responses and carrier updates related to pending cases
  • Update pending follow-up dates according to established guidelines

Sales Entry Responsibilities
  • Review existing client records prior to entering new sales to avoid duplicate policies
  • Search client profiles in VBO using client last name and identifiers
  • Accurately enter sales data and supporting documentation into the VBO system
  • Ensure submissions meet internal standards and carrier requirements

  • Strong attention to detail and accuracy
  • Ability to manage multiple cases and priorities simultaneously
  • Excellent organizational and follow-up skills
  • Clear written and verbal communication abilities
  • Comfort working with confidential financial and estate-related information
  • Proficiency with data entry systems and online platforms

Preferred Experience
  • Experience in financial services, insurance, estate planning, or back-office sales support
  • Familiarity with virtual back-office systems (VBO or similar)
  • Experience navigating carrier websites and managing pending cases
